Let’s be honest—budgeting for a destination wedding can feel overwhelming. Between dreamy Pinterest boards, family expectations, and currency conversions, it’s easy to feel lost in the numbers. But here’s the truth: a well-planned budget is your best friend when it comes to creating the elevated, unforgettable celebration you’re envisioning.

At Adriana Weddings, we help couples from all over the world plan destination weddings across the Caribbean and Mexico. And one of the first conversations we always have is around the budget. Not to worry or scare you—but to empower you. Because when you understand what things actually cost, you can make decisions that reflect your values, your vision, and your priorities.

So let’s break it down:
Here’s how to build a destination wedding budget for 100 guests in the Caribbean—step by step, with real numbers from our 20+ years of experience and insight.

step 1: Start With Your Total (Estimated) Budget

Before diving into line items, have a heart-to-heart with your partner (and any contributing family members) about how much you’re comfortable investing in your wedding.

For a luxury destination wedding in the Caribbean for 100 guests, you’re realistically looking at a starting range of $60,000–$120,000 USD, depending on:

  • Your venue & location (private villa vs. resort)

  • Design complexity

  • Cultural elements (e.g. multi-day South Asian weddings)

  • Time of year (peak vs. shoulder season)

  • Type of vendors you choose (local vs. flying in your dream team)

Step 2: Understand the Core Budget Categories

Note: Flights and accommodations for the couple are often handled separately from the wedding day budget, as are guest travel costs (which they typically pay for themselves).

Step 3: Set Your Priorities

Not every couple values the same things—and that’s okay. Ask yourselves:

  • Is the food and drink experience a big deal for us?

  • Do we want a high-end design with custom builds and florals?

  • Are we dreaming of epic photos with a destination photographer?

  • Do we want to host multi-day events: welcome party, excursion, farewell brunch?

Your budget should reflect your values—not someone else’s checklist.
We help our couples invest more intentionally by allocating more to the things that matter most, and simplifying the things that don’t.

Step 4: Know What’s Often Not Included in Venue Packages

Many Caribbean resorts offer “wedding packages,” but luxury weddings often require enhancements or full custom planning. Here’s what’s often not included:

  • High-end floral design

  • Custom tablescapes or rentals

  • Professional wedding planning or design

  • Premium photography/videography

  • Live entertainment or specialty musicians

  • Luxury guest experiences (yacht charters, rum tastings, cultural excursions)

These are the details that elevate your wedding—and they require a planner who knows the right vendors and how to maximize your investment.

Step 5: Factor in Currency, Gratuities & Taxes

This is a big one most couples don’t think about upfront.

  • Currency exchange rates can affect your final costs (especially if you’re paying in pesos, EC dollars, or euros).

  • Many resorts and vendors in the Caribbean add 18%–28% in service charges and taxes on top of quoted rates.

  • Gratuities for vendors are appreciated but not required. So if you are interested in offering this to your wedding team, then you should also plan this ahead of time.

Pro tip: Build in a 5–10% buffer so you’re not caught off guard later.

Step 6: Consider Your Guest Count Carefully

The beauty of destination weddings is that your guest list is usually more intimate—which gives you room to upgrade the experience.

But don’t forget: each guest adds to the total.

  • More chairs, meals, transportation, and drinks

  • Bigger tent or dance floor rental

  • More staff required

If you’re on the fence between 100 and 120 guests, know that those 20 extra people could increase your budget by $8,000–$12,000. So think carefully about who you would like to include in your destination wedding celebration.

*Important to note: With an increased number of guests, some hotels will offer the couple certain perks like complimentary rooms/ room nights, or additional hours toward their wedding events. These VIP perks will be negotiated through the Adriana Weddings team as we handle the accommodation, etc. for our couples and their guests as well.
